The product lifecycle is the journey a product takes from initial conceptualization, design & development through supplier planning, manufacturing, testing, and finally reaching the customer. However, this journey is rarely straightforward. The process loops back and forth across departments as teams work to meet quality, performance, and regulatory standards.
Design is often updated based on operational realities, and changes introduced at any stage can impact upstream and downstream processes. In such a dynamic environment, the “right people must have the right data at their fingertips,” enabling conformance and compliance throughout the product’s lifecycle.
Without a unified platform, ensuring the entire team has access to current information on processes, raw materials & supplier information, testing methodologies, and production modifications can be a significant challenge. In highly regulated industries like pharmaceuticals and medical devices, the stakes are especially high.
Consider the case of a pharmaceutical manufacturer producing an Active Pharmaceutical Ingredient (API). The company faced a costly recall after implementing a change to its starting material specifications to accommodate supply constraints. Although they added a purification step to address new impurities, the company only conducted experiments on small lab batches and failed to validate this change at full production scale. Regulatory authorities found that the company’s documentation lacked a defined change control process, and no one had evaluated the impact on product quality.
The outcome? The testing team was unaware of the new impurities and continued with outdated testing methods, resulting in product recalls and compliance issues.
With the right access to data, such a situation could have been prevented. Product testing teams could have updated their protocols to detect impurities earlier, quality teams could have tracked performance impacts, and compliance teams would have ensured regulatory adherence at each step.
In the absence of a unified data platform, each department is left to operate within its own digital tools, often relying on specialized systems such as CAD/CAM for engineering, ERP for resource planning, CRM for customer relationships, and SCM for supply chain management. While these systems optimize individual functions, they rarely communicate effectively with each other, resulting in information silos. These silos make it challenging for teams to access and respond to up-to-date information, impacting the product’s quality and performance.
Moreover, when data is accessible across departments, it must be relevant and streamlined to avoid information overload. A cloud-based PLM system with Role-Based Access Control (RBAC) helps manage this by tailoring data access to the specific needs of each team:
By ensuring each team has tailored access to relevant data, manufacturers can enhance efficiency, avoid data overload, and secure sensitive information.
A cloud-based Product Lifecycle Management (PLM) solution like ComplianceQuest’s ProductQuest provides filtered data views, allowing stakeholders to access what’s relevant to their roles without overwhelming them with unnecessary data.
ProductQuest, combined with its integrated Design Quality Solution (Design Controls) and Product Risk & Requirements Traceability Matrix (RTM), ensures that each user sees real-time, role-specific updates, facilitating smarter, faster decision-making.
ProductQuest offers a centralized repository for all data and documents, ensuring that personnel can access what they need anytime, anywhere, based on role and permissions. Alerts and notifications prompt timely reviews and approvals from stakeholders and decision-makers.
Each function can access reports and dashboards tailored to their specific needs. By offering relevant insights in a preferred format, ComplianceQuest improves both productivity and efficiency.
With permission-based access, ComplianceQuest ensures that only authorized personnel can access or modify data. This control protects sensitive product information, especially intellectual property and confidential business data.
ComplianceQuest aligns with industry regulations, such as those in aerospace, life sciences, manufacturing, industrial, medical devices, and automotive sectors, ensuring that data access and management meet ISO standards and other regulatory requirements.
Role-based access also enables tracking of data access and modifications, complete with timestamps, which adds a layer of accountability and compliance. This feature supports regulatory compliance and CAPA, helping organizations continuously improve.
As teams grow or change, ComplianceQuest allows easy modification of permissions, ensuring flexibility in dynamic environments. This adaptability is especially beneficial for accommodating new team structures, temporary project roles, or external stakeholders without compromising data security.
With ComplianceQuest’s cloud-based PLM and integrated QMS, every department has the visibility and transparency required to make informed decisions. This unified access enables continuous improvement, fosters growth, and enhances product quality and performance.
