The first step in developing a product or service is Inception, which refers to brainstorming between different teams to identify the features and capabilities the product must have to solve a particular customer pain point. This is also called the design and development phase and needs to be managed effectively because the clearer the design, the lesser the burden on resources later to get the product or service right.
A characteristic of this phase is that it typically involves inputs from a multidisciplinary team. There will be an initiator who requests a feature based on customer feedback or survey results to improve process efficiency. The designer takes up this request but also requires inputs from other team members, such as the feasibility of production, the raw materials required, its potential acceptance by the market, etc.
Even after a feature has been integrated into the design, it will need to be tested to ensure the performance of the product is not impacted in any negative way. Simulation tests or customer inputs may be needed to take this integration forward. The new or modified product design needs to be reviewed by all the stakeholders to ensure that it meets internal and external standards, does not cause any disruptions to the downstream processes, and is approved before it can be implemented.
Another challenge is that during the design phase, any stakeholders may initiate changes because of factors specific to their function. For example, the procurement team may not get a particular raw material’s quantity or quality from the regular suppliers. They may request a change of the material, schedule, or even supplier, all of which may need time and effort. This will have an impact on the manufacturing process, performance of the product, marketing and sales. Therefore, this will need review and approval and a corresponding adjustment in their functions to match the new need.
All these processes take time, and it is easy to drop the thread without proper project management, leading to errors and confusion. Any errors in the later stages of the project will push the costs up, as the product may have to be scrapped or reworked, taking up time and resources. This can lead to delays and damage to reputation, as well as loss of revenues due to lost opportunity cost.
Defining the project development process with clear workflows, roles, and responsibilities becomes critical to improving product design and development. Streamlining the design process and minimizing confusion while ensuring product quality, performance, and timely release is essential. An efficient project management system is indispensable to managing product development, which often involves coordinating between stakeholders spread across geographies and working in different time zones with different constraints. Standardization of the design project will minimize inconsistencies and confusion and improve the overall quality of the design and development process.
