Product design and development are complex processes that require input from multiple internal and external teams and stakeholders at various stages of the product life cycle. This can make it challenging to track the progress of the products and components, which is a regulatory requirement for improved control and efficiency.
ISO 9001 defines traceability as “the ability to trace the history, application, use, and location of an item or its characteristics through recorded identification data.” It follows the product’s progress throughout the manufacturing process, from design to post-sales service, and allows tracing the sequence of production across the value chain, providing information on the products’ origin and history.
Traceability of products and parts is crucial in manufacturing to ensure their quality, performance, and compliance. Being able to trace the product or components enables rectifying issues if they arise and recalling the products with greater ease.
Also, globalized supply and service chains require traceability of products to ensure the quality of raw materials and post-sales service. This is also important to protect customer interests by ensuring safe and quality products and to protect manufacturers against litigation by demonstrating compliance.
The requirements traceability matrix facilitates downstream/upstream tracing and internal/external tracing based on need.
Downstream Tracing: In downstream tracing, individual product copies or lots can be traced throughout the production chain from the design stage to the customer. This is crucial for maintaining warranties and guarantees and in case of recalls. It also helps manufacturers create meaningful and targeted marketing campaigns and improve customer loyalty.
Upstream Tracing: In upstream tracing, products are traced from the customer to the design stage. Tracing goods helps with root cause analysis and identifying the cause of any malfunction or dissatisfaction at a later stage of the cycle.
Internal Tracing: Internal traceability refers to the tracking and tracing parts and products along the production line within a single unit or company. This is especially critical in large companies with multiple plants in different geographies, as they need to know where a component or product originated and was processed. It also helps to manage and reuse parts such as tools by assigning specific serial numbers to enable detailed tracing.
External Traceability tracks the product from before it enters the facility to after it leaves the facility. This basically covers the supply chain and post-market sales.
Effective traceability systems consist of two primary components:
Provide a unique ID for each product or batch to track and trace its journey. Additional information, such as the product’s dimensions, can be added to the ID as it progresses down the value chain. The number is permanently etched in the product or other technologies such as RFID tags, 2D barcodes, or data matrix ID can also be used.
The ID is captured in real-time and stored in a central database, where all relevant information is updated, creating a live history file.
Creating a detailed requirements traceability matrix provides the following benefits:
Benefit 1: The data enables comparison of the process with the production planning systems, ensuring that all steps are carried out as planned.
Benefit 2: Ensuring the implementation of the quality control processes as planned at each stage becomes easier.
Benefit 3: Although product recalls are bad for the company, they can be inevitable. Traceability helps prevent recalls, but if they become unavoidable, it makes the process faster, more efficient, and less costly.
Benefit 4: This helps identify deviations and anomalies earlier, thereby reducing wastage, scrapping, or rework at an early stage.
Benefit 5: Ensuring quality products that meet customer expectations increases customer satisfaction.
Benefit 6: In case of any nonconformance/noncompliance, it also helps with root cause analysis by providing the necessary data.
Benefit 7: Having a documented record of the entire process helps identify areas for continuous improvement.
Benefit 8: Businesses can identify factors that improve their chances of success and incorporate those aspects into the process early on.
Benefit 9: The requirement traceability matrix also helps improve compliance, reducing recalls and penalties.

Any changes are also reflected in the document and suitable alerts, ensuring timely reviews and approvals.
