Over the past couple of years, at ComplianceQuest, we’ve written extensively about what AI could mean for workplace safety. We’ve looked at practical AI use cases in EHS, including faster investigations and better decision support; explored how AI can help organizations predict safety incidents; and, more recently, discussed why Responsible AI, human oversight, and explainability matter so much in EHS.
There is another area worth examining more closely: safety event reporting, enhanced with AI.
It may not sound as futuristic as predictive analytics or AI agents, but we believe it is one of the most important places for AI to make an impact. Every investigation, trend analysis, risk assessment, or preventive action ultimately depends on the quality of the information coming into the safety system in the first place.
Put EHS aside for a moment.
AI is particularly good at working with large volumes of information. It can read and summarize text, identify patterns across thousands of records, classify information, extract relevant details from unstructured inputs, and help people find what matters without manually searching through everything themselves.
It is also becoming increasingly useful at the point where information is captured. Instead of forcing people to enter everything in a particular format, AI can work with natural language, voice, images, documents, and other inputs and help turn them into structured information.
Those capabilities become interesting when applied to safety.
Consider a manufacturing company producing, say, millions of beverages can every week.
Across its plants, safety information is being generated continuously. An operator notices something unusual near a conveyor. A forklift driver reports a near miss. A supervisor makes a note about an unsafe condition. Maintenance identifies a recurring equipment problem. Someone submits a photograph of a possible safety lapse. Another employee describes essentially the same hazard using completely different words.
Add incidents, inspections, investigations, corrective actions, maintenance records, toolbox talks, and years of historical information, and there is no shortage of data.
The hard part is making sense of it quickly enough to be useful. A near miss may be buried in a supervisor’s notes, an observation may sit in a spreadsheet, and an incident report may not reveal that similar events have already occurred elsewhere in the plant.
This is precisely the kind of information problem AI is good at solving.
Traditionally, reporting has been largely transactional: an employee sees something, completes a form, selects a category, describes what happened, and submits the report. From there, someone in EHS reviews it and decides what happens next.
AI can make that process much richer.
A worker could describe an event in everyday language: “The forklift nearly hit a pallet next to Line 3 because empty cans were blocking part of the aisle.” AI can help interpret that description, extract the relevant details, organize the information, and make it easier for the safety team to work with.
More importantly, that report does not have to be viewed in isolation. AI can help compare it with previous events, near misses, observations, and other relevant records. That gives EHS teams a much better opportunity to understand whether they are looking at a one-off event or something that deserves closer attention.
Looking at the potential to apply current AI technology for safety management, five capabilities stand out:
The objective of safety event reporting has never been to produce more reports. Organizations want employees to report events because those events contain information that can help them understand and reduce risk.
AI gives EHS teams new ways to work with that information.
