Manufacturing companies unanimously agree that the process of managing the end-to-end product lifecycle has become more and more complex. Some of the most common challenges include:
If your PLM process is manual – using Excel, Word, and email – the whole process will become extremely ineffective and inefficient. But just deciding to buy and implement a PLM software isn’t going to solve all of your problems either.
In this blog, we suggest a few best practices to follow to streamline your PLM lifecycle with a “connected” process that is designed for data visibility and collaboration.
Best Practice #1: Establishing Clear Goals
For each manufacturer, the reason for implementing a PLM is unique. Therefore, it is critical to identify the purpose for which the solution is being implemented. Is it to centralize product data, remove duplicates from bills of materials and standardize it, digital transformation of the manual process, or improve compliance? Setting down the goals will create a path for implementing the current goals and a roadmap for future updates.
Best Practice #2: Map Processes with the PLM Software
The current processes must be assessed to determine how they can be converted to a PLM workflow. Identify what are the gaps in the current process and what are the opportunities for improvement. Determine the roles affected by the transformation and how they can be empowered to leverage the software better.
Best Practice #3: Assess Data
How data is currently stored and retrieved, how the data in different sources talk to each other, what integration is needed, etc., are questions that must be addressed. The quality of the current data must be assessed to evaluate its relevance and integrity. For instance, if failure error data is needed for a product, is the data available and meaningful? Can you trust the data? Or does it need cleaning?
Best Practice #4: Get Organizational Buy-in
Resistance to change is a common human phenomenon. Educating employees about the benefits of the change is crucial. This awareness creation cannot be a one-time activity but needs to be repeated till the new method is part of the organizational culture and is sustainable. Understanding the value each task contributes and demonstrating how the value can be ensured with greater efficiency in the new approach can improve adoption.
Best Practice #5: Assign Roles and Responsibilities
Creating champions for change and assigning responsibilities will ensure sustained implementation of the PLM. Role clarity and clear objectives will enable the champions to create a plan and monitor progress to ensure the implementation is on track and the outcomes are achieved. The champion can answer queries and work with other team members to ensure they see value and follow the plan.
Best Practice #6: Provide Training for Filling Skill Gaps
While SaaS-based systems are intuitive and easy to learn and use, providing training helps adapt to the solution and leverages it for innovation and efficiency. Personalized training delivered to the mobile or laptop will help employees take it without disrupting their workflows. Enhancing their skills will keep them engaged and willing to accept the change.
ComplianceQuest PLM is an effective product development management solution as it is integrated with quality to enable the Design Control and Traceability Matrix. This makes it a comprehensive and highly effective solution that addresses various aspects of product development, compliance, and quality management.
Users see value in ComplianceQuest PLM because of its following features:
1. Holistic Product Lifecycle Management: ComplianceQuest PLM offers a complete suite for managing the entire product lifecycle, from ideation to delivery. Integration with design control features allows seamless management of design processes within this lifecycle. It ensures that design activities align with broader product development goals, streamlining workflows and enhancing collaboration among cross-functional teams.
2. Regulatory Compliance and Documentation: Incorporating design control capabilities into ComplianceQuest PLM enables organizations to ensure compliance with industry standards and regulatory requirements. The system facilitates robust documentation of design activities, changes, and validations, aiding in audits and demonstrating adherence to regulatory guidelines. It automatically creates DHF, DMR, and DHR files, reducing the burden on resources to generate these manually. This reduces compliance risks and ensures products meet necessary quality and safety standards.
3. Traceability and Transparency: Including traceability matrices within ComplianceQuest PLM establishes clear links and visibility across different phases of product development. It ensures traceability between requirements, design elements, verification/validation activities, and regulatory standards. This level of traceability enhances transparency, enabling stakeholders to track and understand the relationships between various components throughout the lifecycle.
4. Risk Mitigation and Decision-Making Support: The integrated solution empowers organizations to manage risks associated with design changes and product development proactively. By identifying and mitigating risks early in the process, companies can make informed decisions, reducing potential errors, rework, and non-compliance issues. Decision-making becomes data-driven, supported by insights from the traceability matrix, leading to better outcomes.
5. Efficiency and Collaboration: Combining PLM, design control, and traceability matrix functionalities streamlines processes, reduces redundancies, and improves team collaboration. It eliminates silos by providing a centralized platform for managing design-related documents, changes, and approvals. This facilitates faster decision-making, shorter cycle times, and improved overall efficiency.
6. Training: The CQ solution also has a module that helps identify gaps and design and deliver customized training solutions to upskill the team. Managers can track the completion of courses and create a roadmap. Assessments and certification ensure employees complete the courses and quickly adapt to changes.
