Implementing a Quality Management System is a regulatory requirement in many industries to ensure the quality, performance, and safety of the products and services. Many organizations do the basic QMS implementation to be on the right side of the regulatory bodies. However, this severely impedes the effectiveness of the QMS due to the ever-changing quality, market, and regulatory requirements. Businesses therefore need to move from compliance to establishing a culture of quality in their organizations. They need to move from responding to situations after they occur to prevent their occurrence and continuously improve their processes.
In other words, they need to move from being reactive to proactively addressing quality risks and predicting future possibilities to mitigate the risks.
First, let’s understand what is meant by reactive, proactive, and predictive.
In a reactive approach, businesses respond to a quality event after it has occurred. For instance, in the medical device industry, it could be receiving warning letters or a customer complaint. This usually involves:
In a proactive approach, businesses use a risk-based approach to identify risks before they become events and implement controls. This involves:
In predictive quality management, the quality team reviews data using artificial intelligence and machine learning to analyze and predict future possibilities of issues and implement mitigation strategies to eliminate or minimize the risks. This includes:
Despite best efforts, businesses cannot identify or overcome all challenges. Therefore, a strong reactive approach to quality management must be put in place. This includes standard operating procedures in case of any product or service quality issues and how to respond.
But over and above that, the learnings from these events and data from various operations must be used to identify recurring and potential risks and implement preventative measures. The data must also be used to capture trends and determine future possibilities to predict potential quality issues and implement long-term strategies.
This involves establishing a culture of quality where not only the quality team but every employee is trained to identify issues, report them, and take corrective action based on permission levels to mitigate the risks. Standards and regulations such as ISO and FDA recommend continuous improvement of Quality Management Systems and processes. This is possible only when businesses become proactive in monitoring and tracking the effectiveness of their quality practices and taking corrective and preventive actions wherever they fall short.
Let’s look at what proactive and predictive practices in quality management involve.
For an effective proactive and predictive, businesses need automated systems with access to real time data. Some of the key steps in proactive and predictive quality management include:
To enable proactive and predictive quality management, businesses need a cloud-based quality management platform to ensure consistency, standardization, and transparency and visibility. This makes the quality management process more efficient and effective.
Some of the benefits of proactive and predictive quality management include:
For every organization, it is critical to have a healthy mix of reactive, proactive, and predictive quality management practices. It ensures the effective redressal of current problems while mitigating the risk of quality events in the future.
