Quality management is an ongoing process that requires continuous improvement and reinforcement of standards to remain compliant and meet customer expectations. To enable continuous improvement, businesses must identify potential risks and proactively take corrective and preventive actions.
To enable this, quality leaders need inputs from all hands on the shop floor, as they will have insights to help identify and mitigate risks. This requires a strong communication system where any nonconformance or noncompliance can be recorded and reported for quick action, sufficient training provided to the workers to align their operations to the SOPs, and to provide performance feedback regularly for tracking and monitoring the impact of the quality management system.
Quality management begins with defining the quality objectives, scope, criteria, and methods. It requires input from different teams about customer expectations, benchmarks to be followed by different teams, regulatory requirements for different functions, and governance.
Once the quality plan has been created based on these inputs, it needs to be shared with the employees and other stakeholders to get their buy-in and ensure that they align their processes with the policies and standard operating procedures. Communication helps to create awareness and clarity of roles and responsibilities, which can help avoid issues and reworks later on.
Communication must be continuous at every stage of the process to ensure any changes to policies or procedures are also shared with the relevant stakeholders. Therefore, it is important to establish communication channels that provide the stakeholders with a consolidated view of all important information in a centralized location.
Based on the experiences gained in this process, businesses can improve their communication systems to be more effective. Tracking and monitoring the progress of the communication initiatives and sharing the milestones will reinforce the importance of quality to the employees and establish a quality culture.
A closely integrated process in quality management is training. Training the employees in quality practices and empowering them with appropriate skills to perform their tasks efficiently is essential to meeting customer expectations and being compliant. Skilled employees also participate more proactively in risk identification and mitigation.
The first step is to perform a gap analysis to identify gaps. Next, resources should be identified to train the employees in those areas. These can be internal or external resources, and the training can be delivered online or offline. The content can be personalized, and certifications provided to ascertain the skill levels of the workers. The training must also be planned and ongoing to improve the qualifications and capabilities of the employees continuously.
When the workers have the right skills and knowledge, they are more aware of the quality practices related to their work areas, the benefits of being compliant, and the consequences. They participate more actively in quality management, reinforcing quality and enabling continuous improvement.
Measuring the effectiveness of quality management systems is key to understanding whether the goals are being achieved. Therefore, it is important to establish key performance indicators with quantifiable metrics. These metrics must be tracked and monitored, and if they do not meet the established goals, appropriate corrective actions must be taken to make them more effective.
Businesses must track leading and lagging indicators. Leading indicators predict future trends while lagging indicators provide a historical view of events. Together, they provide businesses with insights that can improve their understanding of the quality management system’s performance.
Customer feedback is another indicator of the product’s performance and an essential source of insight into the effectiveness of the quality management system. Based on complaints and complaint trends, businesses can identify high-risk areas and focus their efforts on reinforcing quality standards.
Inspections and audits also provide quality leaders with feedback on how aligned a business and its various units and sites are with the SOPs and quality systems. Training staff must conduct them periodically to identify issues and suggest improvements.
Management must also review all this information periodically and give direction on how to resolve it as soon as possible to improve the quality management system.
Equipment performance should also be monitored to ensure it is working in optimum condition, improving its life and minimizing nonconformance. Periodic maintenance for planned downtime can also minimize disruption to operations while ensuring quality and continuous improvement.
To make communication, training, and performance feedback effective, businesses need a platform to engage with employees and data to track and monitor the effectiveness of their endeavors. A cloud-based solution such as ComplianceQuest is a one-stop solution for all quality management needs, including ensuring multi-channel communication, training management, and data and analytics to track and manage performance.
